Can I share dashboards or reports?

Share reports by email, as a PDF, or as a public link, and the Scoreboard and KI Score page as a PDF, CSV, or PNG. Live shared dashboards and shared filters aren't available.

This article explains how you can share results from KI Score with colleagues or clients, and which sharing features KI Score does not offer.

Short answer

Yes, through reports and exports. Specifically:

  • Reports can be sent by email on a schedule, downloaded as a PDF, or shared as a public link that anyone can open without signing in.
  • The Scoreboard and the KI Score page can be downloaded as a PDF report, as CSV data, or as PNG charts.
  • Tables such as Prompts, Responses, Sources, or Competitors can be exported as CSV files.
  • From the Advanced plan, your team works directly in the same workspace.

A public link always shows a fixed data snapshot, not a dashboard that updates with new measurements. Live shared dashboards aren't available. Views, your saved filters, and the Scoreboard's Dashboard-Einstellungen (Dashboard settings) are stored only in the browser where you created them. Other people in your workspace can't see them, and they aren't available to you on another device either.

A report is a saved set of analyses for one website, such as the key figures strip, Share of Voice, and most cited domains. You create it in the Scoreboard’s Overview under Weitere Aktionen (More actions) → Reports verwalten (Manage reports). This is how you pass it on:

  • By email on a schedule: monthly, quarterly, or, from the Advanced plan, weekly, each time with the report as a PDF attachment and a link to the version that was sent.
  • As a test email: with Test-E-Mail senden (Send test email) to the Testempfänger (Test recipients), to check a report before the first delivery. There is no one-time send to clients without a delivery schedule.
  • As a PDF: with PDF exportieren (Export PDF) in a report’s window.
  • As a public link: with Öffentlicher Link (Public link). Search engines don't index the link. It stops working when you delete the report.

From the Premium plan, reports, links, PDFs, and emails appear with Whitelabel, meaning your logo and your sender name. Custom colors aren’t available. Reports are available on every plan and don't use any credits; per workspace, you can save 1 report on Essential, 5 on Advanced, and unlimited reports from Premium. To learn how to create, send, and share reports, read Creating and emailing reports.

The Scoreboard as a PDF, CSV, or PNG

In the Scoreboard, open the download icon at the top right. There you'll find:

  • PDF · Kurzbericht (PDF · Summary report) and PDF · Ausführlicher Bericht (PDF · Detailed report)
  • CSV-Daten (CSV data) with individual data sets, such as Kennzahlen und Vergleich (Metrics and comparison), Verlauf (Trend), or Modelle (Models)
  • PNG-Grafiken (PNG charts), such as Verlauf · Erwähnungsrate (Trend · Mention rate), Share of Voice, or Erwähnungsrate je Thema (Mention rate per topic)

The KI Score page has the same download icon at the top right, with PDF reports, CSV data, and PNG graphics for the selected market, such as the Marktvergleich (market comparison) for a measurement week. Each file shows the data as of the time of the export.

Sharing tables as CSV

On every plan, you can download the tables from the main dashboard areas as CSV files, for example under Prompts, Responses, Sources, Fanouts, and Competitors. In Prompts, Responses, and Sources, you can also export any view as a CSV file using Exportieren (Export) in its menu. You can then open the file in a spreadsheet, prepare it, and pass it on.

Keep in mind:

  • The file only includes visible columns. Under Sources, it also only includes rows that have already been loaded. Check your filters and column selection before exporting.
  • Traffic and Site Health (KI-Readiness) don’t offer a file export.

To see which areas offer an export, where to find the buttons, and how the files are named, read Exporting data as CSV.

Shared access in your team

From the Advanced plan, you can invite other people to the workspace: 2 besides the account owner on Advanced, 5 on Premium, and 10 on Enterprise, or more by contract. A role defines what each person can view and edit, and from Premium, you can give a person access to specific websites only. That way, your team can work with the same data directly in the dashboard, without you having to send files around. Billing and the contract stay with the main account.

Even with team access, views and dashboard settings aren’t shared. Each person creates them in their own browser.

To learn how to invite and manage members, see Managing team access in your workspace. For an overview of the plans, visit the plans page.
