Organizing prompts with topics and tags

How to group prompts by topic, label them with colored tags, and filter your analyses by them. Neither costs any credits.

Last updated 11 days ago

Under All prompts, you can organize your monitoring prompts in two ways: with topics, which split the table into groups, and with colored tags that you assign freely. This article shows how to create, assign, and remove both.

Topics and tags each belong to one website. Each topic name and each tag name can only be used once per website, and differences in capitalization don't count.

Creating and editing topics

Each prompt belongs to at most one topic. The prompts table shows every topic with prompts as its own group. Prompts without a topic appear in the “No topic” group. To show topics without displayed prompts, such as one you just created, turn on Show empty topics in the prompt status filter.

To create a topic:

  1. In the sidebar, open Prompts → All prompts.
  2. Click Add more and choose Add topic.
  3. Enter a name in the Topic name field.
  4. Click Add topic.

A new topic automatically gets a description made of “Topic:” and the topic name, such as “Topic: Pricing”. To change the name or description:

  1. Open the three-dot menu in the topic's row.
  2. Choose Edit topic.
  3. Adjust Topic name and Description (optional).
  4. Click Save changes.

The “No topic” group isn't a real topic, so you can't edit it.

You assign a topic to a prompt in its edit form: open the three-dot menu in the prompt's row, choose Edit, pick the topic or “No topic” in the Topic field, and click Save changes. You can also choose a topic in the Topic field when adding prompts through Add more → Add prompts. The default there is Automatic: KI Score then assigns each new prompt a topic, preferring one of your existing topics and only creating a new one if none fits. At most 50 prompts are assigned automatically each time you add prompts. If the assignment fails, the prompts are created without a topic, and so are any further prompts beyond those 50.

Dissolving or deleting a topic

Open the three-dot menu in the topic's row and choose Delete topic. If the topic contains prompts, you have three options:

Action What happens
Dissolve topic only The topic goes away, the prompts are kept and then appear under “No topic”.
Delete prompts only The prompts are deleted, and the now-empty topic remains.
Delete topic & prompts Both the topic and its prompts are deleted.

If the topic contains only one prompt, the labels use the singular. An empty topic is deleted directly with Delete topic.

Note: In the “No topic” group, the menu item is called Delete prompts. It permanently deletes all prompts in that group. Deleted prompts can't be restored.

Creating tags and choosing colors

You manage tags in the Prompt tags panel. It lists all tags for the website along with the number of prompts that carry each one.

  1. Under All prompts, click Add more and choose Add tag. The Prompt tags panel opens.
  2. Click Create tag.
  3. Enter a name under Tag name.
  4. Pick one of the 17 colors under Color. If you don't choose one, the tag is gray.
  5. Click Create.

To rename a tag or change its color, click its row in the panel and save with Save. To delete a tag, hover over its row, click the trash icon, and confirm with Delete. This removes the tag from every prompt that has it, while the prompts themselves are kept.

Assigning tags and type to a prompt

A prompt can have as many tags as you like:

  1. In the prompts table, click the prompt's Tags column. The Edit prompt tags dialog opens.
  2. Check each tag the prompt should have, or uncheck it.
  3. Click Save changes.

Use the search field Search or create a tag… to find tags faster. If no tag with that name exists yet, an entry such as Create tag “Pricing” appears so you can create the tag right away. The same selection is also available under Tags in a prompt's edit form.

In the same dialog, under Type, you set whether the prompt counts as Branded or Non-branded. KI Score recognizes from the prompt text whether it names your brand and preselects the type. If your choice differs, KI Score saves it as a correction. In the Tags column, the type appears as “B” or “N” in front of the tags, and the tags themselves appear as their first letter in their color. The tooltip shows the full name.

What topics and tags do

Topics and tags help you stay organized and analyze your results:

  • They don't change the measurement. Topics and tags have no effect on which prompts a run queries. Paused prompts aren't measured regardless.
  • They cost no credits, neither when you create them nor when you assign them.
  • You can filter your analyses by them: in the prompts table with Topic and Tags under Add filter, and likewise in the Overview and under Responses, Sources, and Fanouts. Tracked competitors can be assigned to topics and tags as well.
  • You can sort the prompts table by the Tags column. Prompts without a tag then appear at the end of their group.
  • Tags are included in the CSV export of your prompts, as long as the Tags column is shown.
