Exporting data as CSV

Which tables you can export as CSV, where to find the export, what the files contain, and how to work with them.

Last updated 11 days ago

Many tables and analyses in the dashboard can be downloaded as a CSV file. This article shows where to find the export, what the files contain, and how to bring the data into spreadsheet or BI tools. CSV exports are available on every plan.

Where CSV exports are available

The date in the file name is the day of the export. Overview files instead carry the website name, the selected period, and the data set in their name. In All prompts, Responses, and Sources, every saved filter in the Views menu also has an Export entry. It exports the table as it is currently shown, so open the view first.

Export button or download icon

On some pages the export appears as text in a menu or bar; on others there is only an icon.

Overview:

  1. In the sidebar, open Scoreboard → Overview.
  2. Click the download icon at the top right.
  3. Under CSV data, choose a data set, such as Metrics and comparison, Trend, Models, All competitors, Topics · five competitors, Sentiment, Sources · top 10 domains, Own pages · top 5, or Source types.

Each file also contains context columns such as website, period, comparison, filters, and data date. The same menu offers PDF · Summary report, PDF · Detailed report, and individual charts under PNG charts.

All prompts:

  1. In the sidebar, open Prompts → All prompts.
  2. Open the three-dot menu.
  3. Select Export as CSV.

If you only need certain prompts, select them in the table and click Export as CSV in the bar that appears, or press the E key.

Responses, Sources, and Fanouts: There is no labeled button here. Click the download icon (a downward arrow) at the top right, next to Columns in Responses and Sources. Screen readers announce it as “Export all answers of the current filters as CSV”, “Export sources”, or “Export all filtered fanouts”. In a source's detail panel, the icon sits next to the search field (“Export evidence”). It exports the tab you currently have open: URLs (domains only), Prompts, or Responses.

Competitors:

  1. Open Competitors in the sidebar.
  2. Select the competitors you want to export.
  3. Click Export in the bar that appears, or press the E key.

The file contains the columns Name, Mention rate %, Website, and Aliases.

KI Score page: In the sidebar, open KI Score under Visibility and select the tab of the market you want. The download icon at the top right (“Export market data”) offers the data sets Market comparison · Measurement week …, History by brand, and Sources in your market under CSV data, plus PDF · Brief report, PDF · Detailed report, and PNG graphics. You can also get the short ranking through the arrow next to the market's tab and Export: that file contains Rank, Brand, KI Score, Share of AI Voice, and Mention rate. Your own brand is marked “(You)” there. The entry stays disabled until a ranking is available for that market.

Credit usage: Open Settings → Billing, switch to the Usage tab, and click Export CSV. The file lists the date and the credits used for each day in the period selected next to the button, either “Last 30 days” or “Last 90 days”.

Which rows and columns the file contains

The export uses the table with your current settings:

  • Rows: All prompts exports all prompts that match your filters and search. Responses and Fanouts export all entries for the current filters, including ones that haven't loaded yet. In Sources, the file contains only the rows that have already loaded. If the sources table offers Load more at the bottom, click it until all the rows you need are shown. Active filters and the selected time period also apply to the file.
  • Columns: In All prompts, Responses, and Sources, the file contains only the visible columns, in the order shown. Show any missing columns with Columns before you export. In All prompts, the Brand sentiment column is split into separate columns for positive, neutral, and negative.

In a source's detail panel, the file contains the currently loaded entries of the visible tab, so for Prompts and Responses only the page shown. In Competitors, the file contains the competitors you selected; in the market comparison, it contains the ranking of the chosen market. Its values are formatted text there, such as “12.5 %”. For calculations, the Market comparison · Measurement week … data set in the CSV data menu works better, because it contains the values as numbers.

Tip: If you regularly export the same selection, save your filters and columns in the Views menu with Save as view. Open the saved view before you export so its settings apply to the file.

Bringing data into spreadsheet or BI tools

The files are UTF-8 encoded, and the first row holds the column names from the dashboard, in the language you use it in. In most files, values are separated by commas. The data sets in the CSV data menu of the Overview and the KI Score page, however, use semicolons as the separator. Numbers there follow the format of your dashboard language: in English with a decimal point, in German with a decimal comma.

Some spreadsheet programs set up for German show a comma-separated file in a single column or display umlauts incorrectly when you double-click it. In that case, use your program's import function and choose UTF-8 as the character set and the comma as the separator. BI tools read the files through their standard CSV import.

What you can't export

  • Traffic and Site Health have no file export. In Site Health, you can copy the fix for individual findings to the clipboard with Copy fix.
  • KI Score does not offer a direct connection to BI tools, a customer API, or a Google Sheets connection.
  • CSV exports don't run automatically or on a schedule. You start each CSV export yourself in the dashboard. Only reports, with the PDF attached, can be sent regularly by email. You set up their delivery in the Overview through the three-dot menu at the top right → Manage reports.
